Emergency care

Arrival expectations

Please arrive 10–15 minutes early to complete any paperwork and update your information.

New patients

If you arrive more than 10 minutes late, you may be asked to reschedule. If the provider is still able to see you, the visit may be shorter, and you may need an additional follow-up appointment to complete your evaluation.

Established patients late by less than 10 minutes

We will check you in, but please be aware that you may have a longer wait if your provider has moved on to the next scheduled patient.

Established patients more than 10 minutes late

Arriving more than 10 minutes late means the appointment is considered missed. You will need to schedule a new appointment. If time allows, the provider may choose to still see you, but there may be a longer wait.

If the provider is running behind

Because of the nature of behavioral health care, providers may occasionally run behind schedule. Our staff will notify you at check-in and keep you updated.

Rescheduling

We try to honor all scheduled appointments and ask that you extend the same courtesy. If we need to reschedule, we will notify you as soon as possible.

Cancellation policy

Please cancel at least 24 hours before your appointment. A $50 fee will be charged for appointments not canceled 24 hours in advance.

No-call/no-show policy

If you do not call or show up for your appointment, you will be charged a $50 no-show fee. Insurance does not cover missed appointments, so this fee is your responsibility. After three missed appointments without notice, your provider may decide how to proceed, which may include ending services.

Credit card on file

A valid credit card is required to schedule and receive services. Your card will be used for co-pays, deductibles, no-show fees, late cancellation fees, and unpaid balances. Patients who refuse to keep a card on file may be denied future appointments. Medicaid patients are encouraged but not required to keep a card on file.

Billing and insurance

If you have questions about your statement, please contact our office. Please keep us updated on any changes to your name, address, phone number, or insurance coverage. If your insurance becomes inactive or denies claims, any remaining balance will be your responsibility.

Missing or undisclosed insurance coverage

Patients are responsible for providing accurate and up-to-date insurance information at every visit. If a Medicaid patient has other primary insurance coverage and does not disclose it, or fails to complete the required Coordination of Benefits (COB) with Medicaid, resulting in a denial of the claim, the full balance will become the patient’s responsibility.
